Privacy Policy

How we collect, use, and protect your information.

Effective Date: March 28, 2026

Last Updated: August 25, 2026

DK Dynamic Ventures LLC ("we," "us," or "our") respects your privacy and is committed to protecting the personal information you share with us. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website at dkdynamicventures.com, use our chatbot, fill out forms, book appointments, or otherwise interact with our services (collectively, the "Services").

This Privacy Policy does not govern Client Data processed by DK on behalf of a business client under an executed Master Services Agreement, Data Processing and Security Addendum, or applicable Order Form (collectively, a "Service Agreement"). Where DK processes Client Data as a service provider under a Service Agreement, the Service Agreement governs that processing.

By using the Services, you acknowledge the practices described in this Privacy Policy. If you do not agree with this Privacy Policy, do not use the Services or submit personal information through them.

1. Information We Collect

Information You Provide Directly

  • Contact information: Name, email address, phone number, business name
  • Form submissions: Information submitted through our contact form, booking forms, or intake forms
  • Chat conversations: Messages exchanged through our website chatbot, including name and email provided at the start of a chat session
  • Appointment details: Date, time, and information related to scheduled discovery calls
  • Communications: Emails, phone calls, or other correspondence you send to us
  • Service-related information: If you contact us regarding Services, information about your business, requested workflow, selected integrations, scheduling needs, or other information you elect to provide in connection with a potential or actual business relationship.
  • Call and Voice Information: If you call or interact with DK through an AI voice receptionist or other telephone system, DK and its service providers may process call audio, transcripts, caller information, call-routing information, and related communications metadata to respond to, route, document, secure, and improve the interaction. Where calls are recorded, DK will provide any notice and obtain any consent required by applicable law.

Please do not submit confidential client information, source matter documents, privileged information, protected health information, payment-card information, government-issued identification numbers, or other sensitive personal information through the public contact form or website chatbot unless DK expressly requests that information through a secure channel.

Information Collected Automatically

  • Usage data: Pages visited, time spent on pages, referring URLs
  • Device information: Browser type, operating system, screen resolution, device identifiers, IP address, approximate location derived from IP address, browser language, and other technical information generated through your use of the website
  • Cookies, local storage, and analytics: We use browser local storage to maintain chat session continuity (up to 30 minutes of inactivity). We also use analytics tools — Google Analytics and Contentsquare (Hotjar) — which use cookies and similar technologies to understand how visitors use our site, including aggregated usage data and anonymized session insights, so we can improve the experience. We do not use these tools to sell your data or serve third-party advertising. Cookies and similar technologies may be strictly necessary to operate the website or may support functionality, analytics, security, fraud prevention, and performance measurement. Where required by applicable law, we will request consent before placing or accessing non-essential cookies or similar technologies. You may be able to control cookies through your browser settings or other available preference tools. Disabling certain cookies or local-storage functions may affect website functionality, including chat-session continuity, scheduling, security, or user-preference features. We do not knowingly use website analytics tools for targeted advertising or cross-context behavioral advertising. However, third-party analytics providers may process information in accordance with their own privacy policies and service terms. Where we provide a cookie-preference tool, you may use that tool to change your preferences at any time.

2. How We Use Your Information

We use the information we collect to:

  • Respond to your inquiries and provide customer support
  • Schedule and manage discovery calls and appointments
  • Send appointment confirmations, reminders, and follow-up communications via email and SMS where you have provided the relevant contact information and, where required, opted in to receive those communications
  • Create and manage your contact record in our customer relationship management (CRM) system
  • Deliver the AI automation services you have engaged us to provide, subject to the applicable Service Agreement
  • Improve our website, services, and user experience, including by troubleshooting, maintaining security, analyzing website performance, and understanding how visitors interact with the website
  • Comply with legal obligations, enforce our agreements, protect our rights and the rights of others, prevent fraud or misuse, and establish, exercise, or defend legal claims

We may also use your information to send marketing communications about DK's services where permitted by law and consistent with your communication preferences or consent, where required. You may opt out of promotional emails by using the unsubscribe link in the message or contacting us as described below. Opting out of marketing communications does not prevent us from sending service-related, transactional, security, legal, or administrative communications.

We do not use personal information submitted through the website, chatbot, or communications to train generalized AI models. Where DK uses an AI-enabled service provider, we use commercially available settings that restrict use of personal information submitted through the website, chatbot, or communications for generalized AI-model training, to the extent those settings are offered and reasonably available for the applicable service.

For information processed by DK on behalf of a business client under a Service Agreement, DK processes that information only as directed by the business client and as described in the applicable Service Agreement.

3. SMS and Text Messaging

By submitting your phone number through our website forms, booking system, or chatbot, you may be asked to consent to receive SMS messages from DK Dynamic Ventures LLC. These messages may include:

  • Appointment confirmations and reminders
  • Follow-up messages related to your inquiry
  • Service-related notifications

Message frequency varies. Message and data rates may apply.

You may opt out of SMS messages at any time by replying STOP to any message. Reply HELP for assistance. Opting out of SMS will not affect other forms of communication.

Your SMS opt-in is voluntary and is not a condition of purchasing Services, except where SMS functionality is itself part of the Services you request. By opting in, you authorize DK to send recurring automated appointment, inquiry-related, and service-related text messages to the mobile number you provide. After you reply STOP, you may receive one final confirmation message.

DK does not sell, rent, share, or disclose your phone number or SMS opt-in consent to third parties for their own marketing or promotional purposes. DK may use communications providers and other service providers to transmit messages or provide related Services on DK's behalf.

4. Third-Party Services

We use the following third-party services to operate our business. Your information may be processed by these services in accordance with their own privacy policies:

  • Hosting & infrastructure (Hostinger, Cloudflare, GoDaddy): Website and application hosting, DNS, security, and performance
  • Cal.com & Google Calendar: Appointment scheduling and calendar sync
  • Resend: Transactional and follow-up email delivery
  • Twilio: SMS messaging (appointment reminders and follow-ups)
  • Retell AI: AI voice receptionist — processes call audio and transcripts to answer, route, and follow up on calls
  • DocuSign: Electronic signature for agreements and onboarding documents
  • Square: Payment processing and invoicing
  • Google Analytics & Contentsquare (Hotjar): Website usage analytics and session insights to improve the experience
  • Anthropic (Claude AI): Powers our website chatbot — conversations are processed to generate responses but are not used to train AI models
  • DigitalOcean or comparable cloud-infrastructure providers: Application hosting, managed databases, storage, backups, and related infrastructure for paid Services, as applicable
  • Additional vendors, contractors, professional advisers, and service providers that support our operations, security, communications, analytics, payment processing, customer support, or delivery of Services

We do not sell, rent, or trade your personal information to third parties for marketing purposes. We will never sell, share, or provide your phone number or SMS opt-in consent to any third party for marketing or promotional purposes. Your SMS consent data will not be shared with third parties under any circumstances, except as required to deliver the services you requested (e.g., sending appointment reminders through our CRM platform).

We may also disclose personal information: (a) when you direct or authorize us to do so; (b) in connection with a merger, financing, acquisition, restructuring, sale of assets, bankruptcy, or similar corporate transaction; (c) to comply with applicable law, legal process, or governmental requests; or (d) to protect the rights, privacy, safety, property, security, and legal interests of DK, our users, clients, service providers, or others.

For paid Services provided under a Service Agreement, the sub-processors and disclosures applicable to Client Data are governed by the Data Processing and Security Addendum and applicable Order Form, rather than this Privacy Policy.

5. Data Retention

We retain your personal information for as long as necessary to fulfill the purposes described in this policy, maintain our business relationship, or comply with legal requirements. If you request deletion of your data, we will remove it from our active systems within 30 days, except where retention is required by law or reasonably necessary to protect security, prevent fraud, resolve disputes, enforce our agreements, preserve legal claims, or maintain backup and disaster-recovery systems.

We may retain limited information after a deletion request where necessary for the purposes described above. Information retained in archival backups may remain until those backups are overwritten or otherwise retired in the ordinary course, but will remain subject to appropriate safeguards and will not be restored to active use except as necessary for disaster recovery, security, legal compliance, or system restoration.

For paid Services, retention, return, and deletion of Client Data are governed by the applicable Service Agreement. DK does not retain source matter documents as a system of record; as described in the applicable Service Agreement, DK may transiently process source documents to perform an agreed administrative scan and retain only Client-approved derived data and workflow metadata.

6. Data Security

We implement reasonable administrative, technical, and physical safeguards to protect your personal information. We host our systems on secure, access-controlled infrastructure, and the third-party platforms we rely on maintain their own industry-standard security certifications. All data is transmitted using industry-standard encryption (TLS/SSL). However, no method of electronic transmission or storage is 100% secure, and we cannot guarantee absolute security.

Our safeguards may include, as appropriate to the information and Services involved, encryption in transit and at rest, multi-factor authentication, role-based or least-privilege access controls, audit logging or access monitoring, backup and recovery procedures, and confidentiality obligations for personnel who may access personal information.

For paid Services, additional security, access-control, encryption, key-management, incident-notice, sub-processor, and data-processing provisions are governed by the applicable Service Agreement.

You are responsible for maintaining the confidentiality of your account credentials, using available security features, and promptly notifying us if you suspect unauthorized access to your account, communications, or information.

7. Your Rights

Depending on your location, you may have the right to:

  • Access: Request a copy of the personal information we hold about you
  • Correction: Request correction of inaccurate or incomplete information
  • Deletion: Request deletion of your personal information
  • Opt-out: Opt out of SMS communications by replying STOP, or opt out of email communications by clicking "unsubscribe" in any email
  • Portability: Request a portable copy of certain personal information, where required by applicable law;
  • Restriction or objection: Request that we restrict or stop certain processing of your personal information, where required by applicable law;
  • Consent withdrawal: Withdraw consent where our processing is based on consent; and
  • Appeal: Appeal a decision regarding a privacy request, where required by applicable law.

To exercise any of these rights, contact us at [email protected].

Please include "Privacy Request" in the subject line and describe your request with sufficient detail for us to evaluate and respond to it. We may request information necessary to verify your identity and authority to make the request. We will respond to verifiable privacy requests within the time required by applicable law. If we deny a request in whole or in part, we will explain the basis for the denial and provide information about any appeal right available under applicable law. Authorized agents may submit a request on behalf of an individual where permitted by law, subject to verification of the agent's authority and the individual's identity.

We will not discriminate against you for exercising privacy rights available under applicable law. Certain information may be exempt from a request, and we may retain information where permitted or required by law.

If you are a resident of California or another U.S. state with applicable privacy rights, you may have additional rights concerning access, correction, deletion, portability, or opt-out rights. DK does not sell personal information for monetary consideration and does not knowingly sell or share the personal information of individuals under sixteen (16) years of age. DK does not use website information for cross-context behavioral advertising.

8. Children's Privacy

Our services are not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have collected information from a child, we will take steps to delete it promptly, subject to any legal obligation to retain the information.

If you believe that a child has provided personal information to us, please contact us at [email protected].

9. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated "Last Updated" date. Your continued use of our website and services after changes are posted constitutes your acceptance of the updated policy to the extent permitted by applicable law.

If we make a material change to this Privacy Policy, we will provide additional notice when required by applicable law. Any updated Privacy Policy will apply prospectively from its effective date.
